Communications
Connect Gmail, Outlook or any IMAP/SMTP mailbox and work your mail inside Unobits, with the CRM, Reach and Finance context other modules attach to a thread.
On this page
Email connects the mailboxes you already use — Gmail, Outlook or any IMAP/SMTP account — and lets you read, write and organize mail inside Unobits, with the CRM, Reach and Finance context that other modules attach to a thread.

Connect a mailbox#
Open Email → Accounts.
Choose Connect an email account.
Pick Gmail or Outlook and sign in with that provider, or choose SMTP and enter your server details.
For SMTP accounts, also enter the IMAP settings — without IMAP, Unobits can send but cannot read new mail or see replies.
A mailbox belongs to the person who connected it. Its mail is visible to that person, not to the whole organization.
| Provider | How new mail arrives |
|---|---|
| Gmail | Pushed to Unobits as it arrives |
| Outlook / Microsoft 365 | Pushed to Unobits as it arrives |
| IMAP/SMTP | Read from your server |
Overview#
Email → Overview summarises a mailbox: what is most important (ranked by named reasons, never a hidden score), who you deal with most frequently, and what is waiting on you.
Conversations#
Email → Conversations is the full mail client:
- Threads grouped as conversations, with snippets, avatars and read indicators (each can be turned off in Settings).
- Reply, forward, Cc/Bcc, save draft, send.
- Schedule an email for later — in 1, 2 or 4 hours, tomorrow, in 2 days, or at a chosen date and time.
- Archive, star, mark as read, move to Trash, mark as spam, add to a category, and bulk actions on several threads.
- Find in thread, download attachments or save them to Files, and preview documents and media without downloading.
- Unsubscribe from mailing lists when the sender publishes a standard unsubscribe address.
- External images are held back until you choose to load them (configurable).
- View raw headers and where a message came from.
Writing with Donna#
In the composer, ask Donna to write a reply for me, or adjust what you wrote — shorter, friendlier, more professional, more direct, fix grammar. Long threads can show a one-line summary at the top, and quick-reply templates cover the common cases (thank-you note, propose a meeting, gentle follow-up, polite decline, apology).
Context from other modules#
Email shows what other modules know about a thread without becoming those modules:
- Open in CRM or Add to CRM for the sender.
- This came from Reach — the campaign, step and first-sent date for mail that a campaign sent — with Open in Reach.
- Take into Reach or Send with Reach to hand a message or a person over to an outreach campaign.
Settings#
Email → Settings covers:
- General — confirm before delete, Send & Archive, what happens after archive or delete, keyboard shortcuts, and your signature (plus a per-account signature).
- Viewing — density, avatars, snippets, media and document previews, threading, external images.
- Notifications — alerts for new mail, primary inbox only, app badges.
- Composer — quoting, schedule send, undo send delay, recipient chips.
- AI — drafting, smart replies, summaries and unsubscribe suggestions.
- Vacation responder — automatic replies between two dates.
- Categories and labels — choose up to four system categories and pin your own labels.
- Storage — automatically save incoming attachments to Files, and how much mail to keep cached on this device.
Email and the Inbox#
Mail from a connected mailbox also appears in the Inbox, unless you leave that mailbox out in Inbox → Settings. Archiving a thread in the Inbox does not archive it in Email.
Email is not for campaigns#
Sending one message to many people belongs in Reach, which adds eligibility checks, opt-outs and sending limits that protect your mailbox's reputation. Email is for the person writing from their own mailbox.
