The Unobits platform

How Unobits adapts to your business

Why a hotel and an estate agency see different words, fields, stages and modules in the same product — and what never changes between them.

Updated 24 September 2026

Unobits is built on one engine that every business shares, and a workspace profile that makes that engine read like your business. A hotel and an estate agency both use CRM, Inventory, Projects and Finance — but the hotel sees Guests and Rooms & Supplies, and the agency sees Leads, Properties and Deals, with the fields and stages each trade uses.

This is more than a theme. It changes words, fields, stages, event wording and which modules lead. It deliberately does not change the records underneath, the addresses of pages, the permission names, or how the product behaves.

Where the profile comes from#

When a workspace is created, the Owner answers three questions, starting with what does your business actually do? Unobits reads the answer, recognizes the kind of business, and builds a profile from it. If a full profile cannot be generated at that moment, the workspace starts from a standard profile for that industry, so onboarding never waits.

The profile then resolves every label in a fixed order:

How a label is decided
  1. Owner's own wordinganything the Owner renamed in Settings → Workspace vocabulary
  2. The workspace's generated profilewritten for this business from the setup answers
  3. The industry's standard profilethe starting vocabulary for that kind of business
  4. Unobits' default wordcontact, opportunity, item, project …

The first one that has a value wins. That is why renaming something in Settings takes effect immediately and survives a change of industry.

What adapts#

WhatExample
Module names in the sidebarCRM → Patients; Inventory → Properties; Projects → Cases; Finance → Commissions
Record nounsa contact reads Guest, Client, Buyer or Shipper; an opportunity reads Deal or Referral; a company reads Agency
Fields on recordsa real-estate property carries Bedrooms, Bathrooms, Sq Ft and Address; a logistics vehicle carries Plate No. and Capacity
Lifecycle stagesestate agency: Enquiry → Viewing → Offer → Completed / Withdrawn; clinic: Referred → Scheduled → In Care → Discharged
Roles on a relationshipBuyer, Seller, Tenant, Solicitor for property; Patient, Next of Kin, Referring Physician for a clinic
How events are described“Case opened” instead of “Project created”; “Patient registered” instead of “Contact created”
Time-tracking typesa clinic tracks Shift, Rounds, On Call and Handover; an agency tracks Deep Work and Client Call
Which modules leada construction firm leads with Projects, Timeline and Inventory; a clinic with CRM and Finance

Where the words change, they change everywhere at once: sidebar, pills, page titles, buttons, empty states, notifications and Donna's replies.

What changes and what never does#

Not every module bends equally. Money and mail are deliberately rigid, because their words have exact meanings and are quoted in support threads, invoices and deep links.

ModuleHow much it adapts
CRM, Projects, Inventory, TimelineFully: module name, icon, record nouns, fields, stages, verbs and event wording
Reach, Socials, Web Elements (and Reports, Ads)Name only: the module name and icon may change; the words on records stay standard
Finance, EmailFrozen: only the name and icon in the sidebar. Money words, reports, statuses and the ledger read the same in every business
Inbox, Chat, Calendar, Files, Office, Whiteboards, Automations, IntegrationsNot configured per business

There is one deliberate exception in Finance: the people you bill are CRM records, so Finance calls them by CRM's word. A clinic's Finance speaks of what patients owe; everything else in Finance keeps its standard wording.

Never changes, in any workspace:

  • Your records. Relabelling rewrites no data. An organization that changes industry keeps every record exactly as it was.
  • Page addresses. /clients/crm, /finances, /inventory stay the same whatever the menu says, so bookmarks and shared links keep working.
  • Permission names. “View CRM” is still the permission for a workspace whose CRM reads Patients.
  • Events, automations, webhooks and integrations. They use the standard names internally, so they behave identically everywhere.
  • How the product works. Lists, boards, record pages, search, filters and Donna work the same way in every business. You learn Unobits once.

Change your workspace's configuration#

  • Rename areas: the Owner can change any label in Settings → Workspace → Workspace vocabulary. Leave a field blank to fall back to the industry default. See Set up your workspace.
  • Re-run setup: Settings → Workspace → Setup wizard asks the three questions again and rebuilds the profile.
  • Change the business type: the Owner can change the industry in Admin → Organization.
  • Add fields: CRM custom fields live in CRM → Settings; inventory items take attributes and custom fields per item.
  • Change stages: pipelines, stages and lifecycle stages are edited in CRM → Settings. Each stage has a fixed internal key and an editable label, so renaming a stage never orphans the records in it.

Reading these docs in your workspace#

These docs use Unobits' standard words — contact, company, opportunity, item, project, task — and note common alternatives. If your screen says Guest where a page says contact, it is the same thing. The Glossary lists the standard words, and the Industries section shows how the most common business types read.
