Who can see and change CRM records
View CRM versus Manage CRM, what each lets someone do, and how the same rule reaches search, Donna and the records other modules show.
On this page
CRM access is decided by two permissions. Both are ordinary permissions — not owner-sensitive — so Admins can grant them.
| Permission | Allows | Included by default in |
|---|---|---|
| View CRM | Open CRM; see people, companies, opportunities, activities, segments and insights; find CRM records in search | Owner, Admin, Manager |
| Manage CRM | Create, edit, move, archive, import and bulk-change CRM records; change CRM settings | Owner, Admin |
Presets that include Manage CRM: Manager, Marketer, Virtual Assistant, Sales. Support and Executive include View CRM only.
What these permissions reach#
The same two permissions govern CRM data everywhere, not only on the CRM pages:
- Search returns CRM records only to people with View CRM.
- Donna can read CRM for you only if you have View CRM, and change it only if you have Manage CRM.
- Connections on records in other modules only list CRM records to people who can view them.
- Office live fields bound to CRM data only fill in for readers with View CRM.
- Bulk enrolment into Reach campaigns also needs Reach access.
What they do not reach#
- Finance data on a CRM record — what a customer has been invoiced, paid and owes, and the Quotes tab — needs Finance access as well. Someone with CRM but not Finance sees the relationship, not the money.
- Email on a record — Conversation history shows email from mailboxes connected to Unobits, subject to who can see each mailbox.
Records are shared across the organization#
CRM records are business records of the organization: anyone with View CRM sees all of them. There is no per-record privacy in CRM. If some relationships must be restricted, keep them out of the shared workspace or use a separate organization.
