Segments
Save a group of records as a segment — kept current by rules or chosen by hand — and use it for campaigns, call lists and reviews.
On this page
A segment is a saved group of records — people, companies or opportunities — that you want to work with together: a campaign audience, a call list, a quarterly review. Segments live in CRM → Segments.
Two kinds of segment#
| Dynamic | Static | |
|---|---|---|
| Who is in it | Whoever matches its rules, right now | Whoever you put in it |
| Changes when | Records change | You add or remove someone |
| Good for | “Customers not contacted in 60 days” | “Guests invited to the spring event” |
Create a segment#
The quickest way is from a list: filter People, Companies or Opportunities until the list shows who you want, then choose Save as segment. The segment starts from the filter you had on screen, and you can change its rules on the next page.
Or in CRM → Segments, choose New segment, name it, pick what it holds and whether it is dynamic or static, then Create and open.
Rules#
A dynamic segment's rules are conditions, matched all together or any one. Available conditions include:
- Owner is, Lifecycle stage is, Status is, Has any of the tags
- Pipeline is, Stage is, Value is at least / at most, Expected to close within
- Source is, Job title contains, Industry is, Name contains
- Has an email address, Has a phone number
- Touched in the last …, Not touched for …
- Has no agreed next action, Next action is due or overdue
- Created on or after / on or before
- A custom field … — any of your workspace's custom fields
Choose Save rules; the segment's membership updates straight away.
Work with a segment#
- Who is in it lists the current members, with In it now counts on the segment list.
- Share with the organization makes the segment visible to everyone with CRM access; otherwise it is yours.
- Duplicate, rename, export or delete a segment. Deleting a segment never deletes the records in it.
- On a static segment, Remove from segment takes someone out.
- To send people to a Reach campaign, select them in a CRM list and choose Enroll in campaign.
CRM Overview → Audiences shows your segments sized by who is in them now.
Segments and Reach lists#
CRM segments are groups of CRM records. Reach has its own lists of leads, which can include people who are not in CRM yet. To reach a CRM segment with a campaign, enrol it into the campaign; Reach links each person to their CRM record. See Leads, lists and importing people.
