Inventory

Stock, locations and movements

Stock by location with reserved and available quantities; adjustments, transfers and reservations; and the movement history every change writes.

Updated 24 September 2026

Stock is how many of an item you hold, where. Every change to it is a movement, so you can always see how the number got to where it is.

Locations#

Inventory → Locations holds the places stock lives — a warehouse, a shop, a site, a van. Each has a code, a name, a kind and an address, and one location is the default. A location with stock in it shows how many SKUs it holds.

On hand, reserved and available#

For each item at each location:

  • On hand — physically there.
  • Reserved — set aside for an order, a job or a customer.
  • Available — on hand minus reserved: what you can still promise.

Change stock#

Open an item and choose:

ActionUse it toEffect
AdjustCorrect a count, write off damage, record a sale made elsewhereWrites a movement with a reason (for example Manual adjustment) and recalculates availability
ReserveHold stock for someoneMoves quantity from available to reserved
Release reservationCancel a holdReturns reserved quantity to available
TransferMove stock between locationsWrites a movement out of one location and into another, updating both

Enter a quantity (not zero), an optional reference and note, and apply. A transfer needs two different locations.

Stock also moves when you receive a purchase order (see Purchasing and suppliers).

Book stock to a project#

Stock used on a job can be moved to a project. The project's Costs then include those items, valued at their cost. See Project costs and job costing.

Movements and the audit log#

Inventory → Movements is the history of every stock change, newest first:

  • Filter by Received, Sold, Adjustments, Transfers and Released.
  • Search by item, reference or note.
  • Export the list.

The Audit log tab lists changes to item records — who changed what, when. Inventory changes also appear in the organization's Timeline.
