Import and export CRM data
Bring people and companies in from a CSV with column mapping and duplicate handling, and export records or segments back out.

Bring existing contacts and companies into CRM from a spreadsheet, and take records back out when you need them elsewhere.
Import from a CSV file#
Excel, Numbers and Google Sheets can all save a CSV. Choose Import a spreadsheet on the People or Companies list.
Choose a .csv file. The file needs a header row with at least one record under it.
Match columns. For each column in your file, choose where it goes to — first name, last name, email, phone, company, job title, lifecycle stage, and so on — or Don't import it.
Decide the defaults.
- Owner, when the file has none — who owns records without an owner column, or the usual assignment rule.
- Tag everything imported — add a tag so you can find this batch later.
- People with no company column — what to do about their company.
Decide what happens to people you already have. When a row matches an existing record, either update it with the file's values or leave it as it is.
Import. When it finishes, everything imported is tagged with the tag you chose.
Import from Google or Outlook contacts#
If you have connected Google or Outlook, the Cloud Sync view on People lists the contacts kept in that account. Choose Import to CRM on the ones you want. See People (contacts).
Export#
- From a list — select records and choose Export.
- From a segment — open the segment and choose Export.
Exports include the fields shown for those records. Your permissions apply: you can only export what you can view.
Duplicates#
Import checks for existing records so a person already in CRM is updated or left alone rather than duplicated. There is not yet a screen for merging two existing records by hand; if you find duplicates, archive the one you do not need, or ask support to merge them.
Moving from another CRM#
Export people and companies from your old system as CSV — usually one file each — and import companies first, then people, so people can be matched to their company. Import open deals as opportunities by adding them on the board, or ask support about bulk opportunity import.
