Bookings
Booking types
What people can book: how time is booked, how many at once, buffers, notice, approval, price and deposit, meeting details, intake questions and nightly rates.
On this page
A booking type says what people can book and how: a 45-minute haircut, a night in a room, a seat in a class. Most booking rules live on the type — length, gaps, notice, approval, price and the questions you ask — so two services can behave completely differently.

Create a booking type#
Choose New booking type (in your words — New service) and give it a name. Then answer three questions.
How time is booked#
| Choice | For | You set |
|---|---|---|
| A set length | Appointments, sessions, classes | Each booking lasts, and Start times every (for example every 15 minutes) |
| From one time to another | Stays, rentals, hires | What People choose: Nights (with Check-in from and Check-out by), Whole days (equipment, venues) or Exact times (a van from 9:00 to 17:30) |
How many at once#
- One booking at a time — the resource is taken.
- Several share it — seats in a class or a tour. Customers book a number of places.
Who or what takes it#
Tick every resource that can take this type. Each booking gets one of them — whoever is free. Customers never choose a specific team member; Bookings picks one that is free.
Rules#
| Setting | What it does |
|---|---|
| Gap after each booking | Minutes kept free after each booking for cleaning, travel or notes |
| Book at least (hours ahead) | Minimum notice. 0 means people can book right up to the start |
| Book at most (days ahead) | How far ahead people can book. Empty means no limit |
| Customers can change it until (hours before) | After this, customers cannot move or cancel their own booking. Your team is never limited |
| Approve each booking before it is confirmed | New bookings wait for approval in the Inbox |
Price and deposit#
Tick It has a price to set an amount and currency, and choose a deposit: No deposit, A fixed amount, A percentage or The full price.
Stays: rates and rules#
A type booked by the night has extra settings under Rates & stay rules:
- Nightly rates — add rates by season (“Summer”, “Festive week”) and weekday, each from and to a date.
- Fewest nights and Most nights.
- Arrive only on and Leave only on particular weekdays.
- Fees on top of the price — per stay, per night or per guest: cleaning, resort fee, extra guest.
- Sleeps at most and a Security deposit, held for the stay and returned after it.
The price is worked out when the stay is booked and kept on the booking. Moving the stay prices it again.
Meetings#
Under Where it happens, a type can be:
| Choice | What customers get |
|---|---|
| Not a meeting | Nothing extra |
| By video, on our own link | The Meeting link you enter; everyone booked gets it |
| By phone | We call them, or They call us on the number you give |
| In person | The address |
| Something else | Your own instructions under What they should know |
Outcomes to choose from afterwards gives your team a fixed list when they close a meeting (“Proposal sent, Follow-up needed, Not a fit”). Leave it empty to write the outcome each time.
Questions to ask when booking#
Add questions customers answer while booking. Each one can be:
- a kind: Short answer, Long answer, Email, Phone, Number, Date, Pick one, Pick any or Agree to (consent);
- Required;
- Only us — a note your team fills in, never shown to the customer;
- conditional — Only ask when another answer is a given value.
Answers are on the booking under What they told us. If a required answer is missing, the booking says Intake is not complete.
Archive a type#
Archive stops anyone booking the type. Its bookings stay as they are, and Restore brings it back.
