Bookings

Bookings settings and who sees what

The business time zone, the rules for customer self-service, and the five levels of access to a booking, from Manage Bookings to a shared calendar.

For owners and adminsUpdated 2 November 2026

Most booking rules belong to a booking type, so they are changed there. The Settings page shows how bookings behave across the workspace, who can see what, and where each rule is changed.

Time#

  • Business time zone — opening hours and booking times are in this zone; customers see times in their own. Change it in Admin → Organization.
  • Your own hours — whether you can be booked. If you can, set your hours in Calendar settings or on Availability. If not, an admin can add you on Resources.

Who sees what#

A booking holds personal details, so what each person sees depends on their access, from most to least:

AccessWhat they see and do
Manage BookingsMake, move, approve and cancel bookings; set up hours, types, resources and pages
View BookingsEvery booking, with customers’ contact details and history
The person bookedTheir own bookings: who is coming and what they said, without contact details
Finance accessThe price and whether it is paid
Anyone sharing a calendarOnly that the time is taken, and by which booking type

By default, Owners and Admins have Manage Bookings, and Managers have View Bookings. Grant either in Admin → Access; see Permissions.

When customers book themselves#

RuleHow it works
Holding a timeA time a customer picks is held for 10 minutes while they finish, then released
Their manage linkEveryone who books gets a private link to see, move or cancel it. It stops working 30 days after the booking
Changing close to the timeSet per booking type. Your team is never limited
ApprovalSet per booking type. Otherwise every booking is confirmed straight away
Too many attemptsOne visitor can hold at most 5 times in 10 minutes, which stops a script from blocking your calendar
Who they becomeA new customer is added to your contacts. Someone already there is matched only by the same email or phone, never by name

Manage links are stored only in a form that cannot be read back, so Unobits cannot show you a customer’s link after it is issued.
