Donna, the Unobits assistant

Control Donna for your organization

The organization AI policy — business context, words to avoid and caution level — what is always true whatever the policy, and bringing your own key.

For owners and adminsUpdated 2 November 2026

Admins shape how Donna behaves for the whole organization in Admin → AI: what she knows about the business, words she must never use, and how cautious she is. Each person can also bring their own AI key.

The AI policy#

SettingWhat it does
Business contextWhat matters most for this business, what to avoid, and where to hand work to people. Donna is given it in every conversation
Words to avoidWords and phrases Donna must not use, such as “cheap, free, guaranteed” — unless she is quoting a customer
Caution levelStrict — conservative, avoids risky phrasing, escalates when unsure. Balanced (default) — practical and brand-safe. Open — stays safe without over-warning or over-refusing

What is always true#

These do not depend on any setting:

  • Donna has exactly the access of the person she is helping. See Donna and permissions.
  • She changes nothing without approval, and sensitive actions can ask for a password.
  • Each action she takes is recorded with who approved it.

Bring your own key#

In the Donna flyout’s Settings, anyone can connect their own AI provider account with an API key, and optionally give Donna their own instruction prompt.

With your own key, your custom prompt replaces Donna’s built-in personality for you. Permissions and approvals stay exactly the same.
